Assist Association Manager in properly maintaining the assets.

Field tenant calls and consult with Association Manager on questions and concerns that are brought to your attention.

Assist in all accounting functions for the property.

Assist in other clerical duties, when necessary.

Assist in vendor selection, scheduling, service request tracking.
RELATIONSHIPS A.
Reports to Association Manager.
B.
Maintains relationships with current and prospective owners.
C.
Maintains relationships with other departments such as landscaping, engineering, accounting and administrative staff.
D.
Maintains relationships with vendors, contractors and suppliers.
RESPONSIBILITIES The activities listed below are not all inclusive.
However, they are indicative of the types of activities normally performed by the Commercial Association Manager Assistant.
A.
The is responsible for assisting the Association Manager in maintaining all aspects of the property operation.
The Commercial Association Manager Assistant will assume responsibility for property operations in the Association Manager's absence.
B.
General Duties:
1.
Maintain accounts payable/accounts receivable records; 2.
Communicate with Tenants and accounting staffs of other companies regarding accounts receivables; 3.
Assist in collection of Assessments and other monies due; 4.
Maintain accounting files; 5.
Assist with any legal proceedings instituted by the Association Board of Directors.
6.
Assist in preparation of budgets.
C.
Specific Duties:
1.
Maintain Owner ledger; 2.
Maintain owner insurance tracking; 3.
Maintain daily receipts journal; 4.
Prepare and submit owner billing, when used; 5.
Prepare tenant payment receipts; 6.
Maintain aged accounts receivable ledger; 7.
Prepare and sends late rent reminder notices; 8.
Prepare and send notices of dishonored checks; 9.
Process invoices for Association Manager approval; 10.
Establish and maintain calendar of required property inspections (i.
e.
life / safety systems, roof inspections and cleaning, HVAC / swamp cooler inspections and service, etc.
); 12.
Maintain PMA renewal date calendar; 13.
Assist with new account set up as outlined in the Property Transition Checklist; 14.
Establish Service Order and vendor scheduling and follow up; QUALIFICATIONS A.
High school education.
C.
Minimum 50 wpm, accurate typing.
D.
Proficiency on 10-key adding machine.
E.
Courtesy; good grammar; pleasant voice.
F.
Detail oriented.
G.
Assertive collection abilities.
H.
Ability to interact with wide range of people.
I.
Ability to assist Association Manager in his/her duties.
