PERSONAL ASSISTANT EXPERIENCE IS REQUIRED.
The ideal candidate will be able to handle a wide range of administrative and maintenance support related tasks.
This person must be organized, flexible, and enjoy the administrative challenges of supporting an office with diverse projects and priorities.
The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.
It is vital for this candidate to assess the status quo and the desired final product, then create an appropriate action plan.
Attention to detail is important.
Additionally, you must be able to change course at a moment's notice.
You must be the type of person who can roll with it.
General responsibilities and duties include but not limited to:
Office support Must be available on weekends/holidays/afterhours Available to stay with animals overnight Organize and maintain files Assist with projects as needed Sort and distribute mail Calendar Responsible for calendar management, requiring interaction with both internal and external executives, assistants, and consultants, and other staff from various companies Maintain recurring administrative calendars and coordinate timing of action items for time-sensitive projects Coordinate events Communication Provide professional and efficient phone interaction Other duties as assigned Assist with scheduling home maintenance, repairs, vendors and supervising staff Admin duties at the home Arranging appointments for the principal Manage any projects going on at the house Weekly Expenses Supervising other staff.
Shopping for food, supplies and other requested items Running errands - dry cleaner, groceries, etc.
Bring dog to the vet when/if needed Dog and house sitting when principal is out of town Assist with concierge reservations, appointments, etc.
Be available for events to assist with setup, breakdown of parties/events Skills and
Qualifications:
Ability to maintain confidentiality of highly sensitive matters Strong interpersonal communication skills Strong administrative support skills Strong computer skills (Microsoft based) Ability to organize, prioritize, and perform work while under pressure Ability to proactively address issues and take initiative and ownership of projects Ability to routinely and independently exercise sound judgment in making decisions.
Must be able to effectively with staff, vendors, and other team members Experience as an executive assistant or administrative assistant required A can-do attitude is required.
