Job Description:
The Jobs Set-Up Specialist is responsible for importing data from the estimating platform into the accounting platform, verifying contract amounts against the imported data, creating and distributing reports used by other departments to complete the job.
Essential Functions as follows:
Job Set-Up:
Receive and review proposals and/or contracts against the scope of work and budgets provided by the Project Manager.
Ensure the value on the proposal matches the value in the contract Ensure the Budgets imported from the Estimating platform (Estimating Edge) match the prices on the proposal and/or contract.
Verify scope of work on proposal matches the contract.
Request Job specific Certificate of Insurance from our Insurance Carrier Advise Production that the new job has been released and is available for review in Laserfiche.
Create job folders for Accounts Receivable with copies of contract and/or signed proposal and other job specific information placed in the folder.
Accurately capture customer information, supporting paperwork and data into multiple platforms such as accounting program (Computer Ease) and data storage (Laserfiche) Complete and send the Notice of Right to Lien for each job over $500.
00 Input and track all the above for change orders as they arise.
Job Close-Out:
Once the job is completed an audit of items due must be identified and secured, most common examples are:
Provide TORC Workmanship warranty, if applicable - based on the proposal and last labor date.
Work with other departments to complete items required by the Manufacturer to obtain the warranties listed in the contract and/or proposal, if applicable.
Update information in the Accounting Platform once the job is paid in full and give to Jobs Manager for Job Cost Review.
Assisting Accounts Receivable as needed:
Assist in Collection efforts.
Assist in billings and completing releases as directed Responsibilities to Coworkers:
Is a Team player while remaining teachable.
Covers the Receptionist 1 day a week for breaks & lunch.
Be patient, kind and respectful in stressful situations.
