Overview
The incumbent in this position is responsible for assisting the Director of Sales in all facets of the sales/marketing/service process by managing correspondence and account data as well as answering and responding appropriately to inquiries.
Responsibilities
Distribute leads through lead generators and occasionally respond to leads from Hotel Planner, LVCVA, etc.
Coordinate services for events, such as signage, displays, special needs requirements, and printing.
Generates Group resumes/Events/BEO's and coordinates Meeting for all necessary departments to attend.
Work with Front Desk team to coordinate site inspection rooms (i.e. gather keys for Director/Manager, walkthrough of rooms to ensure that rooms are show-ready).
Enters data to produce and/or route contracts, sales leads, correspondence, forms, memorandums, Opera S&C management system updates, and other documents.
Answers telephone and responds to caller inquiries. Exercises decision-making skills to direct callers based on requests. Accurately records and distributes messages. Communicates with other hotel associates to relay pertinent sales related information.
Organizes, files, distributes, faxes, and other essential functions necessary in the daily department operation.
Acts as liaison between Director of Sales and clients in the absence of the Director or Sales.
Collaborates with Catering Coordinator in services for events, such as signage, displays, special needs requirements and printing.
Inputs/updates productions numbers for Wholesale report and Pace Report.
Responsible for taking Meeting notes at required GRC and Sales Meetings
Qualifications
Hotel Sales experience required
Good communication skills, both written and oral.
Working knowledge of Microsoft Office Suite and Opera Sales and Catering software.
Basic administrative knowledge such as business letters, formats, and telephone etiquette.
Any combination of education and experience that provides the required knowledge, typing, and communication skills and abilities.
